GDPR - Your Data & Privacy

Under GDPR regulations I am required by law to share with you what data I hold on you, how I handle and/or process this data and how long I keep it for.

Digital Records

These include:

  • Texts, voicemails and e-mails that either of us may send to each other regarding appointments or any between session contact.

  • Other Digital records, including records of payment made via bank transfer.

  • Audio recordings for training and research purposes (provided we have made a written agreement for the recording of sessions).

All of the above are stored securely on encrypted devices and where possible files will have an additional layer of encryption.

Paperwork

I will maintain an attendance record of when we meet and a contract for the work we are doing together. This includes your Name, Signature, Contact sheet with your full name, DOB, phone numbers, email address, emergency contact and GP details. I also make brief notes about our sessions together following sessions. All paper records are kept in a locked filing cabinet.

How I Use And Share Your Data

I will not share any of the above information with third parties unless you ask me to, in which case, we will discuss the benefit of this. If the information I hold on you is court-ordered, I will have no choice but to share this, however, I will endeavour where possible to inform you prior to this action being taken.

As a member of the BACP, I am required to regularly attend clinical supervision as a matter of good practice. During supervision, I will discuss our work together to help me provide you with the best level of care and beneficial experience. The information shared in these sessions will be limited to your first name, your background, why you came to therapy and the nature of our work together. This process is to ensure high standards in my work with you and my supervisor is bound by confidentiality.

How Long I Keep Your Data

When your therapy ends, I will destroy all paperwork and digital records stated above. I will however put together a brief document that includes an attendance record and summary of the work. I will store this securely and destroy it after 7 years of ending the therapy, this is in line with my insurance requirements and best practice.

Clinical Will

In line with the BACP code of ethics and good practice, I have prepared a “Clinical Will” in the event of something unexpected happening to me. This means that another member of the BACP that I have nominated will be given access to my records. This will include basic contact details for you; first name, phone number and e-mail. These details will only be made available to them in the event of my death or incapacitation, to inform you of what has happened.
